Keep records current and consistent

- Check that incident reports were completed close to when events occurred
Organize so anything can be found quickly
A predictable filing system — whether physical binders or digital folders — makes it easy to produce a specific record on request.
- Group documents by resident, by staff member, and by facility operations
- Use consistent, clearly labeled templates across the home
- Keep emergency and contact information easy to reach
Review staff documentation
Caregiver files often include hiring, training, and ongoing records. Reviewing them periodically helps catch anything that needs updating before it’s asked about.
Do a self-walkthrough
Some operators periodically review their own records and environment the way they imagine an inspector might, using their policy manual as a reference. A calm, routine self-review is generally less stressful than a last-minute scramble.
